Plain-language summary
We collect only the information we need to respond to your service requests and run our business: your name, phone number, email, service address, and details about the work you need — plus standard website analytics data collected through cookies. We do not sell your personal information, and we do not share it for cross-context behavioral advertising. We share information only with the service providers who help us operate (for example, our website analytics, scheduling, and communications vendors), and we never send marketing spam. If you opt in to text messages, you can stop them at any time by replying STOP. You can contact us at any time to ask what information we have about you, correct it, or ask us to delete it. The full policy below explains everything in detail.
1. Who We Are and What This Policy Covers
This Privacy Policy describes how Unlimited Heating & Refrigeration Inc., an Idaho corporation doing business as Unlimited Heating, Plumbing & Refrigeration ("Unlimited," "we," "us," or "our"), collects, uses, and discloses information about visitors to our website at unlimitedhp.com (the "Site") and customers who request or receive our heating, cooling, heat pump, plumbing, drain and sewer, indoor air quality, and commercial refrigeration services (collectively, the "Services") in Idaho and Washington, including the Palouse region (Latah and Whitman counties) and the Lewiston–Clarkston Valley.
This Policy applies to information we collect through the Site, by phone, by email, by text message (where you have opted in), and in the course of providing Services. It does not apply to information practices of third-party websites we link to (see Section 12).
2. Information We Collect
2.1 Information You Provide Directly
- Identifiers and contact information: name, phone number, email address, mailing/service address, and business name (for commercial and institutional customers).
- Service request details: the type of service you need, equipment information, property details, preferred contact times, and anything you write in a message or comments field.
- Communications: the content of emails, contact-form submissions, text messages (if you have opted in), and reviews or feedback you send us.
- Career applications: if you apply for a job through the Site, the information you include in your application.
2.2 Information Collected Automatically
When you visit the Site, we and our service providers collect certain information automatically:
- Usage and device data: IP address, browser type and version, operating system, device type, referring page, pages viewed, time spent on pages, links clicked, and approximate (city-level) location derived from IP address.
- Cookies and similar technologies: small files and identifiers stored on your device (see Section 9).
- Analytics data: we use Google Analytics (deployed through Google Tag Manager) to understand how visitors use the Site (see Section 10).
2.3 Call Tracking and Call Recordings
We may use a call-tracking service to measure which advertising channels generate phone calls. If active, calls to tracking numbers displayed on the Site may be logged (caller phone number, date/time, duration, and marketing source) and may be recorded for quality and training purposes. Where a call may be recorded, you will hear a disclosure at the start of the call. Washington law requires the consent of all parties to record a conversation; if you do not wish to be recorded, please tell us at the start of the call and we will continue without recording.
2.4 Information from Other Sources
We may receive information about you from:
- Review platforms (for example, Google or Yelp) when you leave a public review, and from review-invitation tools (including QR-code review links) when you use them.
- Referral sources, such as a property manager, general contractor, or another customer who asks us to contact you.
- Our email-communications provider (see Section 5), which tells us whether emails we send were delivered or opened.
We do not buy lists of consumer data from data brokers.
3. How We Use Information
We use the information described above to:
- Respond to your inquiries, provide estimates, schedule appointments, and perform the Services;
- Communicate with you about appointments, service updates, invoices, warranties, and follow-ups;
- Send text messages only if you have expressly opted in (see Section 8);
- Send occasional email communications such as seasonal maintenance reminders and company updates, which you can opt out of at any time;
- Operate, maintain, secure, and improve the Site and our Services;
- Measure the effectiveness of our advertising and understand how visitors use the Site;
- Comply with legal obligations, including tax, licensing, and record-keeping requirements;
- Protect our rights, property, and safety and those of our customers and employees; and
- Evaluate job applications you submit.
We do not use your personal information for automated decision-making that produces legal or similarly significant effects.
4. Legal Bases and Sources — In Short
We collect information (a) directly from you, (b) automatically from your device when you use the Site, and (c) from the limited third-party sources listed in Section 2.4. We use it because it is necessary to provide the Services you request, because you have consented (for example, SMS opt-in), or because we have a legitimate business need (for example, site analytics and security).
5. How We Disclose Information
We do not sell your personal information, and we do not share it with third parties for cross-context behavioral advertising. We disclose personal information only to the following categories of recipients, and only as needed for the purposes above:
- Website and hosting providers — the vendors that host, build, and maintain the Site.
- Analytics and tag-management providers — Google (Google Analytics, Google Tag Manager).
- Call-tracking and telephony providers — if deployed, the vendor that manages tracking numbers and call logs.
- Email and customer-communications providers — including Levitate, which we use to send relationship emails such as maintenance reminders and company updates.
- Text-messaging providers — the platform that delivers SMS messages to customers who have opted in.
- Review-invitation providers — tools that generate review links or QR codes directing you to public review platforms.
- Scheduling, invoicing, and payment processors — as described in Section 13, payments are processed by third-party processors; we do not receive or store full card numbers.
- Professional advisers — accountants, insurers, and attorneys, under duties of confidentiality.
- Government authorities and other parties when required by law — for example, to respond to a subpoena, court order, or lawful request, to enforce our terms, or to protect the rights, property, or safety of any person.
- Business-transfer parties — if we are involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to this Policy.
Our service providers are permitted to use personal information only to provide services to us, not for their own marketing.
6. Consumer Privacy Rights by State
We serve customers in Idaho and Washington, and this Site is available nationwide. Your rights depend on where you live:
6.1 Idaho Residents
Idaho does not currently have a comprehensive consumer privacy statute granting rights such as access or deletion. We say that plainly rather than implying otherwise. Even so, we voluntarily extend the following to all customers, including Idaho residents: you may contact us (Section 15) to ask what personal information we hold about you, to correct it, or to request deletion, and we will honor reasonable requests unless we need to retain the information for legal, warranty, tax, or safety reasons.
6.2 Washington Residents
Washington does not have a comprehensive general consumer privacy law, but it does have the My Health My Data Act (MHMDA), which protects "consumer health data." Our Services are HVAC, plumbing, and refrigeration — we do not seek to collect consumer health data, and we ask that you not include health information in service requests. If you voluntarily disclose health-related information (for example, telling us that a household member has a respiratory condition relevant to an indoor-air-quality installation), we will use it only to perform the requested service, we will not sell it (and we do not sell any personal information), and we will delete it on request. Washington residents may contact us (Section 15) to exercise access or deletion requests regarding any such information. Washington's separate laws on call recording (two-party consent) are addressed in Section 2.3.
6.3 California Residents (CCPA/CPRA)
If you are a California resident, the California Consumer Privacy Act as amended by the California Privacy Rights Act ("CCPA/CPRA") may grant you the rights to know, access, correct, delete, and port your personal information; the right to opt out of "sales" and "sharing"; the right to limit use of sensitive personal information; and the right not to be discriminated against for exercising these rights. We do not sell personal information and we do not share personal information for cross-context behavioral advertising, and we have not done so in the preceding 12 months. We do not use or disclose sensitive personal information for purposes requiring a right to limit. California residents may submit requests using the contact methods in Section 15; we will verify your identity using the contact details we have on file and respond within the timeframes the law requires. You may designate an authorized agent to make a request on your behalf.
6.4 Other States
If you reside in another state with a comprehensive privacy law (for example, Colorado, Connecticut, Oregon, Texas, or Virginia), you may have similar rights of access, correction, deletion, and opt-out. We honor rights requests from residents of those states using the same process in Section 15. If we decline a request, we will explain why, and you may appeal by replying to our response; we will answer your appeal within the period your state's law requires.
7. Global Privacy Control (GPC) and Do Not Track
Because we do not sell or share personal information, there is nothing to opt out of in that regard; however, we treat a Global Privacy Control (GPC) signal from your browser as a valid opt-out preference where applicable law gives it that effect. Our Site does not currently respond differently to browser "Do Not Track" headers, for which no standard has been adopted.
Your Privacy Choices — Do Not Sell or Share My Personal Information
We do not sell personal information and we do not share personal information for cross-context behavioral advertising, and we have not done so in the preceding 12 months. We do not use or disclose sensitive personal information for purposes requiring a right to limit. Because there is nothing to opt out of in that regard, we do not operate a separate "sale" opt-out process — but you still have meaningful choices about your information:
- Know, access, correct, delete, and port the personal information we hold about you. The rights available to you depend on your state (see Section 6); to make a request, use the contact methods in Section 15.
- Opt out of analytics and ad measurement — use the Google Analytics opt-out browser add-on and control ad personalization (see Section 10).
- Global Privacy Control (GPC) — we treat a GPC signal from your browser as a valid opt-out preference where applicable law gives it that effect (see Section 7).
- Manage cookies — use the cookie banner on the Site and your browser settings to limit non-essential cookies (see Section 9).
To exercise any of these choices, contact us using the methods in Section 15 (Email info@unlimitedhp.com, subject line "Privacy Request"; Phone (208) 596-7757). We will not discriminate against you for exercising any privacy right described in this Policy.
8. Text Message (SMS) Program and Consent
If you opt in to receive text messages from us:
- Program description: Unlimited Heating, Plumbing & Refrigeration sends appointment confirmations, scheduling updates, technician-arrival notifications, and service follow-ups by SMS.
- Express opt-in required: you will only receive texts if you check the SMS consent box on one of our forms or otherwise give us express written consent. Consent to receive texts is not a condition of purchasing any goods or services.
- Message frequency varies with your service activity (typically 1–4 messages per service visit).
- Message and data rates may apply, depending on your mobile carrier and plan.
- Opt out at any time by replying STOP to any message. You will receive one final message confirming your opt-out. Reply HELP for help, or contact us at (208) 596-7757 or info@unlimitedhp.com.
- Carriers are not liable for delayed or undelivered messages.
- We do not share mobile numbers or SMS consent with third parties or affiliates for their marketing purposes. Mobile opt-in data is not sold or shared.
9. Cookies and Similar Technologies
The Site uses the following categories of cookies and similar technologies:
- Strictly necessary — required for the Site to function (for example, form-submission protection). These cannot be switched off.
- Analytics/performance — Google Analytics cookies (set through Google Tag Manager) that help us understand aggregate Site usage.
- Advertising/measurement — used only to measure which channels bring visitors to the Site. We do not run cross-context behavioral ("targeted") advertising based on your activity on other sites.
Where a cookie-consent banner is presented, non-essential cookies load only after you accept them, and you can change your choice at any time via the cookie-preferences link in the footer. You can also control cookies through your browser settings; blocking some cookies may affect how the Site works.
10. Analytics and Advertising Pixels; Your Opt-Outs
We use Google Tag Manager to manage tags and Google Analytics 4 to measure Site usage. Google's practices are described at policies.google.com/privacy. You can opt out of Google Analytics with the browser add-on at tools.google.com/dlpage/gaoptout. If advertising pixels (for example, a Facebook/Meta pixel or Google Ads conversion tag) are deployed for conversion measurement, they measure the effectiveness of our own advertising only; you can control ad personalization at adssettings.google.com and facebook.com/adpreferences.
11. Children's Privacy (COPPA)
The Site and Services are directed to adults — homeowners, businesses, and institutions. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us personal information, contact us (Section 15) and we will delete it promptly.
12. Third-Party Links
The Site links to third-party sites and platforms — including Facebook, Yelp, Google review pages, and our financing partner's application page. Those sites have their own privacy policies, and we are not responsible for their practices. Review their policies before providing information.
13. Payments
We do not collect or store full payment-card numbers on the Site or our own systems. Any card payments are handled by third-party payment processors that are responsible for PCI DSS compliance; we receive only confirmation of payment and limited transaction details (never the full card number or security code).
14. Data Retention and Security
We retain personal information for as long as needed for the purposes described above: service and invoice records are kept as required for warranty, tax, licensing, and legal purposes (typically up to 7 years); website analytics data is retained per our analytics configuration (typically 2–14 months); communications are kept as long as reasonably needed to serve you. When information is no longer needed, we delete or de-identify it.
We use commercially reasonable administrative, technical, and physical safeguards to protect personal information — including HTTPS encryption on the Site, access controls, and vendor due diligence. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you and regulators as applicable law requires.
15. How to Contact Us / Exercise Your Rights
To ask a privacy question or exercise any right described in this Policy:
- Email: info@unlimitedhp.com (subject line "Privacy Request")
- Phone: (208) 596-7757
- Mail: Privacy Request, Unlimited Heating & Refrigeration Inc., 2910 Clyde Rd, Moscow, ID 83843
We will confirm receipt, verify your identity using information we have on file, and respond within 45 days (or sooner where state law requires), with one 45-day extension where permitted. Exercising your rights is free of charge.
16. AI-Generated Content Disclosure
Some content on this Site (for example, service descriptions and educational articles) is produced with the assistance of artificial-intelligence tools and reviewed by our team before publication. See our Terms & Conditions for the related disclaimer. No AI system makes decisions about your personal information on our behalf.
17. Changes to This Policy
We may update this Policy from time to time. When we do, we will change the "Last Updated" date at the top and post the revised Policy on this page. For material changes, we will provide more prominent notice on the Site (and, where appropriate, by email). Your continued use of the Site after a revised Policy is posted means you accept the changes.
